Rolling out an AI receptionist isn't about the fancy edge cases. It's about nailing the ordinary ones — the calls that make up 90% of your day. Before you go live, pressure-test these five.
1. "What are your hours?"
The most common call there is. Your AI should answer instantly, account for holidays and special hours, and — crucially — offer to book if the caller needs an appointment. A hours question is a booking opportunity in disguise.
2. "I need to reschedule."
Rescheduling is where clumsy systems fall apart. The voice needs to find the existing appointment, offer new slots, release the old one, and confirm — without making the caller repeat their whole life story.
3. "How much does it cost?"
Pricing calls are delicate. The best approach is honest ranges plus a nudge toward booking, where an accurate quote can be given. Dodging the question erodes trust; over-promising creates problems later.
Handle the boring calls perfectly and the impressive ones take care of themselves.
4. "Can I talk to a person?"
Sometimes the right answer is a human. A great AI receptionist recognizes that moment and hands off cleanly — warm transfer, context passed along, no "start over from the beginning." Knowing its limits is a feature, not a failure.
5. Silence, noise, and accents
Real calls are messy. Background noise, a caller who pauses to think, a strong accent, a toddler in the room. Your voice should stay patient and accurate through all of it, and never talk over someone who's mid-sentence.
The launch checklist
Before flipping the switch, confirm each of these:
- Hours, holidays, and location answered correctly
- Booking, rescheduling, and cancellation all working end-to-end
- Clean human handoff with context
- Graceful behavior on noise, silence, and interruptions
Get these right and your customers won't just tolerate the AI — they'll prefer it. Zela ships tuned for all five out of the box. See the checklist in action.
